About PDF
PDF (Portable Document Format) was developed by Adobe Systems in 1993 and standardized as ISO 32000 in 2008 after Adobe submitted the format for standardization. PDF is the world's leading format for cross-platform document exchange, preserving layout, fonts, images, and interactive elements exactly – regardless of the display device or operating system. The format is based on a mixture of text, vector graphics, and raster images and supports forms, digital signatures, annotation features, and JavaScript actions. PDF/A, a subset for long-term archiving, is the mandatory format for documents subject to retention requirements in government agencies and enterprises. The file structure enables incremental saving, where changes are appended without rewriting the entire file. PDF 2.0 (ISO 32000-2, 2020) brought improvements in accessibility and security. Criticisms include large file sizes when embedding fonts and images, as well as the difficulty of reliably extracting PDF content – which is why OCR-based conversion tools like wandlio are needed to transform scanned PDFs into editable formats.
About XLSX
XLSX (Office Open XML Spreadsheet) was introduced by Microsoft in 2007 as the successor to XLS and is part of the ISO 29500 standard. XLSX is based on XML and stored as a ZIP archive containing worksheets, formulas, cell formatting, charts, and macros as XLSM variant. The format supports over one million rows and 16,384 columns per sheet, significantly more than the legacy XLS format with its 65,536 row limit. LibreOffice Calc and Google Sheets can open XLSX files, though complex Excel functions and VBA macros may not be fully compatible. XLSX has replaced the binary XLS format and is the standard for spreadsheets in business and organizations worldwide. The XML structure enables automated data extraction and programmatic processing of calculations. For data export without formatting, CSV is the simpler alternative; for distribution as a document, converting to PDF. XLSX also supports conditional formatting, pivot tables, data validation, and external data connections.
Why convert XLSX → PDF?
Excel files (.xls/.xlsx) contain tables, charts, and formulas, but require Microsoft Excel or LibreOffice for display. Many recipients don't have spreadsheet software installed. Converting to PDF (PDF) creates an immutable version for reports, printing, or archiving — without the recipient needing Excel. PDF makes spreadsheet data accessible to all users, regardless of installed software. PDF is the standard for immutable documents — layout-stable, viewable on any device, ideal for contracts, invoices, and archiving.
